Business Division

Exhibits Staff

Responsibilities: 

  • Provide assistance as necessary during dealer and artist load-in (begins Thursday) and load-out (late Sunday afternoon).
  • Help set up Zenkaikon merchandise booth; maintain neat, attractive display; monitor inventory; assist with both break down; record ending inventory.
  • Staff at the Zenkaikon merchandise booth at the convention.
  • Sell merchandise.
  • Respond to attendee questions.
  • Provide general support to Exhibits team in managing and monitoring the Exhibits Hall (includes dealers, artists, guests, exchange tables).

Requirements: 

  • Good customer service and teamwork skills.
  • An enthusiastic, professional personality.
  • Capable of careful tracking of cash and inventory.
  • Previous retail sales or service experience is a plus.
  • Able to stand and walk for extended periods.
  • Able to lift 40 pounds.

Guest Relations Assistant Head

Responsibilities:

Pre-Con: 
  • Assisting Department Head in Any and All Duties including:
  • Corresponding with and making offers to Guests to attend each year’s show (with approval from guest selection committee)
  • Negotiating and writing contracts
  • Maintaining and collecting information regarding guest  health/dietary needs and restrictions
  • Communicating/ working with other Departments:
    • BoD as contract proof readers/feedback
    • Public Relations to relay guest bio/photo information for program book and website as well as guest panel descriptions
    • Registration to communicate badge names/numbers
    • Venue to relay guest hotel room arrangement information
    • Tech/Venue to relay musical act backline/equipment needs
    • Panels/Programming to coordinate schedule blocking with other programming
    • Maintaining and accepting submissions in the Guest Panel Submission form
    • Maintaining accurate badge/person count for guests
    • Assisting with schedule blocking of guest activities, panels and events into the convention schedule
    • Maintaining master guest schedule
    • Writes and proofreads guest schedule files
    • Assisting with guest budgeting and financial tracking
At-Con
  • Making sure guests needs are being taken care of and that handlers perform their duties
  • Assisting with guest drop off/pick up/ transportation

Requirements:

  • Able to attend monthly online meetings as needed for Guest Relations business

Guest Relations Staff

Responsibilities:

  • Serve as the guest’s at-con point of contact along with Department Head
  • Escort guests to their panels/activities and make sure they get there on time
  • Make sure the assigned guest(s) are fed and their needs are met
  • Make sure the attendees behave respectfully towards the guest (i.e. make sure the guest is not being stalked or harassed)
  • Make sure Zenkaikon staff and volunteers behave respectfully towards the guest
  • Assist safety (or line management staff) in line management during autograph sessions
  • Available for airport pickup/transport of guests
  • Moderate panels as needed


Requirements:

  • Ability to maintain a professional yet friendly demeanor towards guests
  • Valid driver’s license (up to date registration and insurance required)
  • Previous experience working in a guest department at one or more established conventions (or equivalent hospitality experience)
  • Ability to work as a team with Convention Chair, Department Heads and Staff
  • Ability to be in communication with the Department head via email (Skype/Google Hangouts are also appreciated).

Guest Relations - Transportation Staff

Responsibilities:

  • Available to pick-up van on Thursday afternoon
  • Available for airport pick-up/transport of guests.
  • Make sure the attendees behave respectfully towards the guest (i.e. make sure the guest is not being stalked or harassed).
  • Make sure Zenkaikon staff and volunteers behave respectfully towards the guest


Requirements:

  • Ability to maintain a professional yet friendly demeanor towards guests.
  • Valid driver’s license and registration.
  • At least 25 years old.
  • At least 5 years experience driving with a good record (no DUI/major driving infractions).
  • Comfortable driving 11 and 15 passenger vans.
  • Previous experience working in a guest department at one or more established conventions is a plus.
  • Ability to work as a team with Convention Chair, Department Heads and Staff.
  • Ability to be in communication with the Department head and Assistant heads via email, cell, and Discord/Slack
  • Has a working Smartphone with GPS.
  • Punctual, good at keeping a set schedule.
  • In order to make up required staffing hours, in off hours available to assist other departments.
  • Ability to be at convention from the Thursday before the con by early afternoon to Sunday evening.

Guest Green Room Assistant Head

Responsibilities:


Pre-Con:
  • Assists the Green Room Head and works with other assistant head(s) with various duties including but not limited to: budgeting, inventory, scheduling and menu selection.
  • Assists in evaluation of new staff applications for Green Room
  • Must review and account for guests’ food preferences, dietary restrictions, and allergies.
  • May be called upon to make purchases for the department using convention expense card

At Con:
  • Restricts access to and knowledge of Green Room to authorized personnel only (incl. guests, Green Room/Guest Relations staff).
  • Must review and account for guests’ food preferences, dietary restrictions, and allergies.
  • Assists with daily food pickups for Green Room
  • Keeps the Green Room stocked with supplies and helps to promote food safety.
  • Assists in the operation of Green Room during convention hours including: serving/prepping food.
  • Helps to ensure the Green Room is kept clean and presentable.
  • Assists with Green Room breakdown and inventory at the end of the convention

Guest Green Room Staff

Responsibilities:

  • Ability to maintain a professional yet friendly demeanor towards guests.
  • Restricts access to and knowledge of Green Room to authorized personnel only (incl. guests, Green Room/Guest Relations staff).
  • Must review and account for guests’ food preferences, dietary restrictions, and allergies.
  • Works with the Green Room Department Head to choose the menus for the guest suite at the convention.
  • Assists with daily food pickups for Green Room
  • Keeps the Green Room stocked with supplies and helps to promote food safety.
  • Assists in the operation of Green Room during convention hours including: serving/prepping food.
  • Helps to ensure the Green Room is kept clean and presentable.


Requirements:

  • Familiarity with Google Docs and Excel Spreadsheets.

Registration Staff

Responsibilities:

  • Abide by all registration policies and procedures.
  • Assist the Head and Assistant Head of Registration in registering attendees.
  • Operate a registration workstation.
  • Handle attendee purchases and make change (for cash stations).
  • Field attendee questions.
  • Promote questions to appropriate personnel when necessary (e.g., forwarding attendees with issues such as missing/incomplete registration information) to the triage station.


Requirements:

  • Competent usage of a web browser.
  • Ability to type (touch-typing a plus).

Communications Division

Communications Assistant Director

Responsibilities:

  • Assists the Division Director and acts as the head of the Division when the Division Director is not available

Requirements:

  • Strong oral and written communication skills
  • Good availability for working on Zenkaikon-related projects
  • Attend the annual Zenkaikon convention in person
  • Familiar with multiple social media platforms (Facebook, Twitter, Instagram, etc)
  • Good computer skills – familiarity with programs like the Adobe suite and Canva a plus

Social Media Assistant Head

Responsibilities:

Pre-Con/Post-Con:
  • Ensures at least one update per day is published to each of the Zenkaikon social media outlets – order of precedence being: Zenkaikon updates, relevant local updates, Zenkaikon flashbacks/photos, topics of interest to attendees, or boosting relevant content from others.
  • Uses Canva or other programs to design exciting graphics for our social media posts (utilizing the assistance of the Graphic Designer as needed).
  • Ensures all Zenkaikon social media outlets are appropriately moderated.
  • Answers questions sent to us through our social media outlets, or directs them to the appropriate departments. Maintains a list of common questions with answers in order to assist other staff with answering questions.
At-Con:
  • Ensures social media staff continue to moderate social media and answer questions during the event.
  • Ensures social media staff are posting relevant updates, photos, and videos of the convention throughout the event.

Requirements:

  • Excellent written communication skills

  • Previous experience managing social media accounts (e.g., Facebook, Twitter, or Instagram)

Table Swap Organizer

Responsibilities:

  • Arranges table swaps with other events.
  • Plans decorations for the Zenkaikon table based on the convention theme and presents a proposed budget for approval.
  • Maintains stock of table supplies and ensures they are provided to table volunteers to bring to events.
  • Recruits volunteers to staff tables at events and puts together a schedule for table coverage.
  • Acts as point of contact for table volunteers.
  • Provides table swap information to the Exhibits Department to reserve tables.

Requirements:

  • Highly organized
  • Able to maintain professional at all times
  • Does not need to attend the convention in person

Responsibilities:

Pre-Con:
  • Designs Zenkaikon signage and other printed materials (e.g., schedules, maps) for use at the convention. With approval of the Division Director, submits signage for printing. Ensures signage is delivered to the appropriate departments at the convention.
At-Con:
  • Provides for on-site printing of signage at the convention as needed.


Requirements:

  • Highly organized
  • Experience with design/publishing software such as Photoshop, Illustrator, Canva, or the like
  • Understanding of print requirements such as dpi, color mode, aspect ratio, etc.
  • Attend Zenkaikon in person

Operations Division

Attendee Services Assistant Head

Responsibilities:

  • Manage information desk during convention shifts
  • Relay information reported at the info desk internally to staff comm group
  • Assist with Layout/Setup of information desk
  • Inventory lost & found items
  • Relay attendee complaints to appropriate departments
Pre-con:
  • Coordinate with other departments their needs of the info desk at-con
  • Assist with info desk staffing schedule

Requirements:

  • Strong communication skills
  • Customer service experience is a plus
  • Interest in leadership
  • Able to work late night shifts (after 10pm)
  • Familiarity with all convention policies and procedures
  • Able to remain calm in high stress situations

Attendee Services Staff

Responsibilities:

  • Work the information desk at the convention
  • Answer all attendee questions and resolve all issues
  • Escalate issues as needed
  • Manage at-con lost & found items
  • Communicate with other departments as needed

Responsibilities:

  • Assists the Convention Operations Department Head and Assistants with general convention duties, including:
    • Line management.
    • Badge checks.
    • Relief for departmental breaks.
    • Additional staffing coverage during peak hours.
    • Radio communications control.
    • Selected staff members will be assigned to a specific Convention Operations team for the majority of his or her assigned hours.

Requirements:

  • Good interpersonal skills and teamwork.
  • Good oral communication skills.
  • Ability to quickly learn new information and adjust to changes with minimal notice.
  • Reasonable level of comfort in stating and enforcing convention rules or moving crowds.
  • Prior customer service experience is a plus.
  • Previous convention or festival experience preferred.
  • Must be available to work beginning the evening of Thursday before the convention.

Staff Communications Head

Responsibilities:

Pre-Con:
  • Administrative role in Discord
  • Reviews and takes responsibility for Google Discord form. Makes necessary updates
  • Post Pinned Guidance for staff in Discord
  • Coordinates Staff FAQ with other Divisions/Departments, but is the main partner for updates
  • Reviews Radio Requirement Planning and proposes suggestions to optimize
  • Radio Training Module update
At-Con:
  • Create Radio Team reports

Requirements:

  • Trustworthy – will have access to sensitive information channels

Mobile Tech Staff

Responsibilities:

  • Set up and tear down of AV equipment in Panel and Video rooms
  • Set up and tear down the registration computer network
  • Assist panels staff in getting panelists set up to do their panels
  • Assist convention staff with radio check in and check out
  • On call to troubleshoot any technology problems that arise during the event

Requirements:

  • Possess a basic knowledge of Audio/Video equipment and computers
  • Able to lift up to 50 pounds
  • Able to be on your feet for periods of several hours
  • Able to navigate what are sometimes small/tight spaces for electrical hookups
  • Available during setup and breakdown of the convention.
  • Willing to be on-call for the entire duration of the convention in reasonable shifts, including keeping a radio (provided)
  • Be able to deal with irate congoers/guests/staff and behave in a helpful manner in order to troubleshoot issues with the technology used by the convention and the guests/panelists.
  • Ability to respond to calls without direct instruction
  • Ability to adapt to situations in which the perfect solutions may not be available and must therefore find an imaginative solution

Mobile Tech - Software Specialist

Responsibilities:

  • Manage updates and key software deployment at the convention
  • Ensures technical assets are in good working order during the convention and does a status check at end of convention to confirm asset status for use in future events

Pre-con:

  • Assess and update technical assets as required

Requirements:

  • Access to the storage unit in Lancaster, PA before the con or days leading up to the event
  • Acceptance of the Convention Technology purchases and relay to storage
  • Ensuring full function of technical assets during the event (or as best as we can prepare ahead of time.)

Safety Staff

Responsibilities:

  • Secures all entrances/exits.
  • Badge checks at all times.
  • Ensures attendees are following the rules set forth by the convention.
  • Keep hallways clear as much as possible.
  • Keep lines moving – make sure that lines for registration, panels, dealer, autographs, concerts and special events are orderly and proceed normally.
  • Available for walk through and department meetings and briefing before the convention.

Requirements:

  • Able to stand and walk for extended periods of time.
  • Able to remain calm in high stress situations.

Harassment Guidance Coordinator

Responsibilities:

  • Develop a Program for handling Harassment complaints at con.
  • Identify key staff to be present (not intimidating) to field complaints.
  • Train on proper reporting and mediation
  • Define escalation procedures
  • Reports to Safety Head

Requirements:

  • Law enforcement or significant convention safety experience a plus
  • Empathetic approach to sometimes delicate situation handling

Inventory Manager

Responsibilities:

  • Responsible for copying and entering Inventory sheets
  • Provided purchasing data from the Business division to incorporate into boxes.
  • Needs Excel skills for improving the general database
  • Helps to print/generate QR code stamping for Inventory boxes to improve inventory deployment.
  • At-Con Staff pool as needed to make up to 24 in person hours
  • Will prepare and manage a stock list before and during the event
  • Collaboration with Purchasing Pre-Event to clarify items needed for pickup
  • Creation of a past stock list for departments to check and confirm during the event

Requirements:

  • Excel or Access proficient staffer with organizational skills
  • Can be a mostly pre-convention role. At Con duties will mostly come into play on Saturday and Sunday with packing and coordinating printed lists.

Signage Manager

Responsibilities:

  • Coordinates with Communications to create standardized signage
  • Reviews signage inventory at end of event and proposes requirements for new year
  • Develops Drafts for new needs
  • Arranges approval with appropriate Department Heads

Requirements:

  • Pre-convention position

Programming Division

AMV Staff

Responsibilities:

Pre-con:
  • Viewing / scoring contest entries for determining finalists.

At-con:
  • Distributing / collecting contest ballots and pencils.
  • Working with and assisting other departmental staff during AMV department downtime if / when called on to do so.

Requirements:

  • Experience with social media networks such as Facebook, Twitter, Tumblr, etc.
  • Able to receive / view massive amounts of digital media
  • Friendly demeanor for interacting / communicating with attendees.
  • Basic math skills (simple addition and division).

Artemis Staff

Responsibilities:

Requirements:

  • Some Windows and Networking Experience a +
  • Electronics Experience a ++
  • Experience with Artemis Spaceship Bridge Simulator a +++
  • Ability to teach in a friendly manner
  • Willingness to Learn
  • Ability to handle changes like computers being down
  • Would prefer you be able to be there Thursday night for setup and Sunday afternoon for teardown.

Cosplay Staff

Responsibilities:

  • Reports to Cosplay Head and/or Assistant Head.
  • Assists mainly with Prop Checking/Peace-Bonding but may be needed for assistance with:
    • Masquerade
    • Hall Cosplay Contest
    • Cosplay Ball
    • Dating Game
    • Other cosplay activities
  • Attends staff meetings as required by the convention and by the Head of Cosplay.
  • Help where else may be needed at the convention if appropriately trained for that assistance, and does not interfere with primary cosplay tasks.
  • Browses Discord and answers cosplay related questions and topics to which they know the answer, otherwise will alert Cosplay head and/or Assistant Head to answer questions.
  • Works along with other staff departments to ensure that convention policies are adhered to, especially with regard to appropriate cosplay and props.

Requirements:

  • Be knowledgeable in cosplay and costuming. Though it is not required to be a cosplayer, it is a significant plus to have a working knowledge of costume and prop construction techniques (i.e. sewing, millinery, pattern drafting, special effects makeup, wig styling, etc) and/or knowledge of current events in the cosplay/costuming community in regards to masquerades, costuming competitions, and other popular cosplay/costuming events.
  • Be able to work the majority of the convention weekend (particular hours to be determined).
  • Will be allowed to cosplay at Zenkaikon if they so choose, but must be something as to be able to move and see clearly to accomplish any and all tasks without interfering, and not be a costume so popular as to cause a massive stoppage for photo opportunities. Must be willing to change if cosplay is found to impede duties.

LARP Staff

Responsibilities:

  • Maintaining a comprehensive storyline throughout the weekend while producing on the fly changes to meet player demand.
  • Creating a storyline pre-convention that can handle 50-100 players working to rip it apart.
  • Maintaining an in-character role to facilitate the weekend’s storyline.
  • Helping players with rules, calling rules as necessary, and handling rules disputes.

Requirements:

  • Able to meet outside of the ‘official’ meetings – at least once per month all year.
  • Able to handle being ‘in charge’ of players for long periods of time.
  • Able to handle work shifts over 12 hours long with infrequent breaks.
  • Able to keep calm in stressful situations and smooth out problems that may occur between players.
  • Must know NEXUS LARP system rules.

Live Programming Staff

Responsibilities:

  • Covering the various programming rooms during the convention, to ensure that the Panelists have all technical assistance needed to begin their scheduled programming on time and attendees do not fill the room past fire marshall/crowd safety standards
  • As time permits, assess the quality of programming in the room and gauge the audience response

Requirements:

  • Good interpersonal skills and teamwork
  • Good oral communication skills
  • Ability to quickly learn new information and adjust to changes with minimal notice
  • Reasonable level of comfort in moving crowds or requesting assistance from other departments
  • Able to be on your feet for periods of several hours

Volunteer Services Division

Staff Services Staff

Responsibilities:

  • Aids in the general recruiting of Zenkaikon Staff members
  • Serves as a secondary mediation liaison in any disputes between Zenkaikon Staff members
  • Evaluates staff members performance and makes recommendations for highly qualified Department Head Candidates to the Convention Chair and Vice Convention Chair
  • Is available at the convention to coordinate floating staff assignment and/or mediate any Staff issues, as required
  • Meet all deadlines as set forth by the Convention Chair and Vice Convention Chair

Requirements:

  • Excellent written and oral communication skills
  • Ability to check e-mail daily

  • Good interpersonal skills and teamwork
  • Fair and impartial mediation interactions with peers
  • Familiarity with Microsoft Office or Open Office

Zenkaikon Online

Network Operations Engineer (On-Site)

Responsibilities:

  • Operating, monitoring, and troubleshooting the Zenkaikon Online network and equipment.
  • Other responsibilities include assisting with setup and tear down, covering breaks etc.
  • Supervises all on site jobs and duties and reports to/works with ZO Department Head
  • Aware of the schedule and list of panels being streamed (has copy of printed and digital list)
  • Manages the camera operators both in room and roaming
  • Fixes tech/Internet issues, responsible for troubleshooting
  • Monitoring the feeds and ensuring they are up and active
  • Helps Main Events/SONUS w/OBS etc

Requirements:

  • Basic knowledge of TCP/IP, VLAN’s, DHCP, DNS, 802.1x Wireless Technologies, Cell Networking 3G/4G/LTE
  • Linux knowledge is a plus!
  • Experience with virtual machines and virtualization recommended.
  • Information Troubleshooting experience required, able to work autonomously when the situation requires it.
  • Able to assist with setup and teardown of gear.
  • Ability to lift 20lbs
  • Preferred availability to attend at least one pre-con in-person meeting to perform equipment checks.

Broadcast Operations Engineer (On-Site)

Responsibilities:

  • Monitoring and operating video and audio broadcast feeds.
  • Other responsibilities include assisting with setup and tear down, covering breaks etc.


Requirements:

  • Experience with video streaming protocols and software like RTMP, OBS, or Xsplit.
  • Familiarity with GoPro, Logitech Mevo, or similar devices.
  • Information Troubleshooting experience required, able to work autonomously when the situation requires it.
  • Able to assist with setup and teardown of gear.
  • Ability to lift 20lbs
  • Preferred availability to attend at least one pre-con in-person meeting to perform equipment checks.
  • Preferred availability to attend department meetings throughout the year.

Zenkaikon Online Content Managers (Off-Site)

Responsibilities:

Pre-con:
  • Works with Live Programming/Div Head for streaming and online only panels applications, goes over applications and selects the content.
  • Video Labeling, Organization, Editing
  • Labels, categorizes and schedules for publication the videos from the con on our UScreen site.
  • Makes sure that the descriptions match what is listed on sched.com.
  • Makes sure correct author info and bio are associated with video and any featured videos are correctly categorized.
  • Minor editing of verbiage or pages on UScreen website according to easy HTML interface on back end.
  • Keeps content confidential until after scheduled distribution/release dates.

Requirements:

  • Good attention to detail, spelling and grammar
  • Will be trained in UScreen if no prior experience.

Video Editor (Off-Site, Software Required)

Responsibilities:

  • Trims and splits videos. Renders and saves according to accepted formats and uploads to UScreen site
  • Checks videos for age/subject appropriateness. (person in room)
  • Keeps content confidential until after scheduled distribution/release dates.

Zenkaikon Online Discord Moderators (Off-Site)

Responsibilities:

  • Aware of the schedule and list of panels being streamed
  • Can remove unwanted content/users from the chat
  • Answers questions about a panel from Discord users
  • Have access to the ZO Uscreen site as a member

Requirements:

  • Trained/will be trained and compliant with all Discord/Con policies and commands
  • Good interpersonal skills and teamwork.
  • Good oral and online communication skills
  • Experience with Discord
  • Experience being a Discord moderator is a plus
  • Will be trained in UScreen if no prior experience.

Year-Round/Off-Site Positions

Secretary

Responsibilities:

  • Ensure agendas and meeting minutes are taken for all Board meetings and general staff meetings (Board meeting monthly, staff meeting quarterly)

  • Schedule and send reminders for all Board meetings and general staff meetings

  • Record and manage attendance lists for all Board meetings and general staff meetings

  • Manage the Board Election process

  • Retrieve organization’s membership list upon request

  • Maintain and update the organization’s bylaws when changes are approved by the Board

Requirements

  • Experience volunteering with Zenkaikon or in a similar capacity with another organization preferred 

  • Must be able to attend monthly board meetings (online)

  • Strong written communication skills and organizational skills

  • Ability to meet deadlines

  • Ability to delegate tasks as needed

Discord Moderators

Responsibilities:

  • Year long role in low amount.
  • Manage roles on the Discord server for Staff Communications
  • Part of the Staff Communication group
  • Support during the convention off-site or on-site

Requirements:

  • Trustworthy – will have access to sensitive information channels

Scheduling Assistant

Responsibilities:

  • Work with all programming departments to create a draft programming schedule
  • Upload the convention schedule to the online schedule platform
  • Maintain the live schedule as changes are made

Requirements:

  • Proficient at Excel and Google Sheets
  • Comfortable learning and managing online scheduling platform as an administrator (scheduling platform TBD)

Cosplay Chess Programmer

Responsibilities:

  • Assist with programming a chess board program for Cosplay Chess
