Zenkaikon is offering the choice of either a refund of your 2020 membership, or a rollover of your membership to Zenkaikon 2021.
If you would like to rollover your Zenkaikon 2020 membership, please complete this form, which will be active until Monday, March 16, 2020. We look forward to seeing you next year!
If you would like a refund, there is generally no action required on your part, and refunds will be processed as soon as possible. However, if there has been a change to your credit card or bank account since you paid for your registration, and you are no longer able to receive a refund to that card/account, we ask you to complete this form as soon as possible to ensure you receive your refund. In addition, be aware that due to payment processor restrictions, refunds for memberships purchased before September 15th will need to be mailed as a physical check.
Given the number of refunds and rollovers that will need to be processed, and our staff all being volunteers, we kindly ask for your patience. In general, you should expect refunds to be processed within 60 days.
If you have a VIP membership for Zenkaikon 2020, the same rules apply as if you had a normal pre-registered membership. You can either receive a full refund, or roll your 2020 VIP membership into a 2021 VIP membership.
Will hotel rooms in the convention blocks be cancelled automatically? Or do I need to cancel my room?
You will need to contact the hotel to cancel your own room. We recommend you do this as soon as possible, as some hotels may charge for cancellations less than a few days in advance. (For the Lancaster Marriott at Penn Square, the deadline is 48 hours before date of expected check-in.)
If you run into any difficulties canceling your room, please contact our Venue Department.
I paid for a dealers room booth/artist alley table for Zenkaikon 2020. Can I roll it over to next year? Can I get a refund?
All dealers and artists for 2020 will be given the option to roll over their booths/tables to our 2021 convention. Expect an email from our Exhibits Department with more details to come out shortly. However, to keep things more organized on our end, if you would like to request a rollover of your booth/table, we’d ask that you fill out our Rollover Request Form and put your Dealer/Artist Booth name in the Comments field. If you choose not to rollover your booth/table, you can receive a full refund.
We know that many of our panelists and presenters put a lot of work into their programming for our 2020 convention, so we have decided to give priority to panels from 2020 if they would like to present at Zenkaikon 2021. If you were a panelist, keep an eye on your inbox for an email from our Live Programming Director with more details on this in the future.
We know our members were very excited about our D20 theme, so we are happy to say that we have decided to have a similar theme for Zenkaikon 2021! Stay tuned for an official announcement.
No formal decisions have been made yet on guests for Zenkaikon 2020, as there are many factors in having a specific guest attend the convention. However, we are already in the midst of planning and can’t wait to share announcements with you!
As far as 2021 programming, we will have the familiar programming you have come to expect from Zenkaikon such as panels, workshops, screenings, cosplay, video gaming, tabletop gaming, LARP, AMVs, dances, vendors, artists, and more. However, at this time we cannot speak on whether a specific panel or workshop will be at Zenkaikon 2021.
We are so glad that you want to support our artists and dealers. Many are indeed hurting due to a slew of cancelled events. You can find our artist list here, and our dealers list here. Many have online shops where you may be able to browse and purchase.
If you are local to Lancaster County, we also ask you to remember the local shops and restaurants that count on Zenkaikon business during the convention weekend. If you can’t visit them now, consider buying a gift certificate to use at a later date. You can view a list of some local business in our dining guide.
Thank you so much for your support of our event. It is true that even though our event is cancelled, there are still many bills that have already been paid and will not be able to recovered.
One way you can support Zenkaikon is to consider rolling over your Zenkaikon membership to 2021 in lieu of a refund. This gives us even more starting funds to begin planning an amazing 2021 event!
If you shop on Amazon, Zenkaikon is also a registered non-profit on Amazon Smile. Just search for “Zenkaikon Entertainment.”
We are considering options for Zenkaikon 2020 merchandise. However, selling merchandise online is difficult, since a volunteer staff member would need to be in charge of shipping orders, and there are still so many refunds and rollovers to process. We will continue discussing options, but if nothing else we will definitely sell this merchandise at Zenkaikon 2021. In the meantime, you can also support the artists who created wonderful designs for our merchandise and giveaways:
Staff Shirts/VIP Shirts/Program Book Cover: Afterimages of Ghostfire
2020 Badge Artwork: Gina Biggs/Strawberry Comics
Attendee Shirt: Jerry McKinney
Child Shirt: Anselea Hewitt/Aria's Art
Buttons: Beth Hankel
Magnets: Michelle Farra
Chibi Artwork: Jessi Pascal/Geeks Next Door
We are very disappointed that we weren't able to hold our charity auction this year. Arch Street Center is a wonderful organization that helps so many, and their need for support doesn't go away despite the cancellation of our 2020 event. We look forward to hopefully working with them during future events. In the meantime, you can donate to them here.
We know that many of our members worked so hard on their cosplays, and we are sad that we won’t get to see them in person this year. However, you can enter your Cyber Cosplay Contest or Cosplay Showcase!
We are still discussing options for the AMV contest, and will post an update as soon as we have one.
There are a lot of factors that went into our decision. Finding a weekend at the Lancaster County Convention Center that didn't have another conference or even a small business meeting taking up rooms was a big one. We also are uncertain at this point when this current crisis will be over, and would not want to postpone and then need to cancel again. We also were thinking about turnaround time - can we put on Zenkaikon 2020 later in the year (summer, fall) and still be able to devote the necessary time for all the logistical planning for March 2021? For these reasons, we decided it was better to focus on making our 2021 event the best event that it can be, rather than try to plan two events in a reduced timeline.
That being said, at the time of this posting, it has barely been 24 hours since we made the decision to cancel, and there are still ideas in flux. We will keep you posted if there are any updates.
No. Every year, we’ve always set aside a portion of our funds for just a situation like this, in the event we had to cancel the convention, refund memberships, and still pay all the bills. Our bank account isn’t as large now as it was, but in no way will canceling this year cause Zenkaikon to close its doors.
Will Zenkaikon happen in 2021? Will Zenkaikon 2021 be a smaller event because of the cancellation of Zenkaikon 2020?
Zenkaikon will happen in 2021! We had already secured our 2021 dates and signed the contract with the Lancaster County Convention Center for Friday, March 19th, to Sunday, March 21st prior to our cancellation of Zenkaikon 2020.
We fully anticipate Zenkaikon 2021 to be the same, full convention you experienced in 2019 with a full slate of programming, guests, and special events.
