Artists Alley Registration

Artist Alley Registration for Zenkaikon 2018 is now closed.

Artist Alley is a great place for both amateur and professional artists to showcase their work and original merchandise. Artist Alley merchandise traditionally includes fan art prints, manga, models, paintings, and novelty crafts, but is limited only by your imagination. Many artists take custom commissions during the convention.

General Information

Juried Allocation Method

Zenkaikon will have a juried Artist Alley. The Department Head and Exhibits staff will be the primary evaluators of all applications. The most important factors in making our decisions will be:

  1. Variety. This means variety among artists, not necessarily within your own work. A range of styles, subject matter, and media within the population of artists benefits both attendees and artists. Given our limited size, we want to balance the room as best as possible.
  2. Originality. We generally favor original work over fan art. We are not, however, placing a specific percentage requirement as to how you balance your portfolio between the two. 
  3. Relevance to the Zenkaikon convention. This does not mean our theme for the year but rather our target audience. We market ourselves as a family-friendly anime and science fiction convention.

Once open, applications will be accepted for one week. 

Portfolio

Please provide a link to an appropriate online portfolio in the space provided on the application.

This portfolio will be how we evaluate your application. We strongly recommend you use a site or layout tool that allows you to display in an easy-to-navigate gallery form. Some examples of options - if you don't have your own web site -  are DeviantArt, including their Portfolio offering, PortfolioBox.net, and carbonmade

Based on our experience in prior years (we have always reviewed applications to make sure they are not completely inappropriate for our audience), we have recommendations with regard to a couple of sites.

  1. Tumblr. We strongly recommend you not use Tumblr for your portfolio if at all possible. It's a blogging platform and, as such, generally does not provide an easy-to-view gallery layout. If you do choose to make use of this platform, please make it easier to find your artwork (as opposed to other activity you might have in your account) by techniques such as having an account dedicated solely to posting your work or careful tagging that enables filtering to just your artwork.
  2. Etsy. If you always keep your store stocked with a representative range of your work, it can be a good option. But past experience has shown this isn't laways the case. We have had plenty of examples where the artist's store is completely empty when we go to view it. Evaluate your particular situation and stocking patterns before using it as your portfolio.

If you intend to share your table with another artist with the expectation the second artist will be selling their own work, please also provide a link to that artist's portfolio.

Location

Zenkaikon is offering artist tables in Freedom Hall B at the Lancaster County Convention Center in Lancaster, Pennsylvania for 2018.

Artist Alley will share space with Dealers and will be subject to Exhibit Hall hours. The space will be closed and secured each night with no need to pack up goods at closing time.

Hours

Artists are required to staff their tables for the entire time the Exhibit Hall is open for all three days of the convention.  Spots are in extremely high demand, and so artists who cannot commit to the schedule listed below should either partner with another artist who can do so or should seriously consider not applying for 2018.

Artist Alley is currently scheduled to be open at these times:

  • Friday, April 28, 2017 : 2:00 p.m. – 8:00 p.m.
  • Saturday, April 29, 2017: 10:00 a.m. – 6:00 p.m.
  • Sunday, April 30, 2017: 10:00 a.m. – 3:00 p.m.

The first hour on Friday (2:00 – 3:00 p.m.) will be limited access for our VIP pre-registrants (maximum of 65), guests, staff, and volunteers.  Any changes will be posted on our website (www.zenkaikon.com) and communicated via email prior to the convention.

The exact time of load-in availability is not yet finalized with venue, but we expect it to be no later than Thursday afternoon.  We will contact artists closer to the event date with final load-in details.

Table Number and Size

For 2018, Zenkaikon is selling only whole tables (6 foot by 2 foot).  An artist or group may have only one (1) table.

Table Costs and Payment

Minimum table cost is the combination of one table ($80) plus one convention membership.  Artists may purchase up to one additional membership to be designated as an Artist Helper badge.  All participants at the table must be registered for the convention. Please see the summary of combined costs in the table below.

The costs shown below are based on a $40 per person convention membership. The $40 rate is available only with your initial application. If you add an Artist Helper to your table at a later date, you must pay the then-current membership rate. 

You must include your convention membership fee with your table payment if you are not already registered for Zenkaikon 2017.  Reservations, once confirmed, will be held for 15 days.  If full payment is not received within 15 days, you will lose your registration.

Artists may pay by check, money order, or PayPal.

Electricity

General use outlets are not guaranteed to be available in the Exhibit Hall.  If you need electricity, it is recommended that you order it through the Lancaster County Convention Center using their order form.

How to Register

Please be sure to read through all our Artist Alley policies.  Note that artists under age 18 must provide the name and email of a parent or guardian who will also be present for artist check-in at Zenkaikon in May 2018.

All communication will be sent to the email address of the registering artist.  Please ensure to include the Head of Exhibits email address (exhibits@zenkaikon.org) in your email permitted list.  The registering artist is the only party for any given artist space to whom updates will be sent. 

  1. Request a Space
    Complete our Artist Alley request form, providing all requested information.  You will have the opportunity to provide information for up to one additional registration beyond your own.  Any additional registration will be designated as “Artist Helper” badge giving the individual the right to help set up and run your table.
     
  2. Receive Confirmation
    The Head of Exhibits will confirm whether or not you have received a space.  If you have been accepted into the Alley, the email will include the total amount of your required payment, instructions on where to send payment, and the payment deadline.

    If you indicated on the request form that you have already registered for Zenkaikon 2018, please forward your receipt either electronically or by paper (for example, print out your PayPal receipt).  Scanned documents are acceptable for electronic submission to exhibits@zenkaikon.org.
     
  3. Send Payment
    You can pay through the mail with check or money order made out to “Zenkaikon Entertainment” or by PayPal.  Mailing and email addresses will be provided in your notification email.

    If you are paying by check/money order, please print a copy of your confirmation email and include it with your payment.

    If you are paying electronically and your PayPal email address is different from the one you used to register, please enter your registered name, email, and studio name (if applicable) in the comment/notes area in the PayPal form.

    Full payment must be received within 15 days of confirmation or your table spot will be given to someone else.

Minors Policy:  Anyone registering for a table must be 18 years of age or up to sign the artist contract.  Those under 18 must have a parent or legal guardian sign the contract for them.  The parent or legal guardian who signs the contract needs to be present for artist check-in.

Refunds Policy:  You will receive a full refund of the table fee for any tables canceled by February 17, 2018. We are sorry, but we are unable to offer refunds of Zenkaikon memberships.
